The pile

Every growing business has a pile of work that never gets done properly.

Tickets answered late. Invoices keyed by hand. Calls that ring out. Carts nobody follows up. None of it is anyone's actual job and all of it costs money.

Hiring ahead of it is expensive. Outsourcing costs you the quality. Bolting on a tool handles the easy cases and creates a new problem on the hard ones.

The hard part was never generating output. It is knowing which work should never reach a person, which must, and seeing the difference on a dashboard.

Installed

Four parts. Same four whatever the agent handles.

A

The agent

Handles the work that should never need a person.

B

The escalation path

Everything else reaches a human with the context already attached.

C

Tagging that means something

Categories you can run decisions off, not a default taxonomy.

D

The dashboard

What it handled, what it escalated, what it got wrong, and where volume is moving.

Built on the helpdesk you already use. Nothing gets ripped out.

Built with whatever fits. n8n, Claude, OpenAI, Retell for voice, or straight code. I do not resell anyone's platform and I am not on anyone's commission.

Sequence
01

Look at the work

The real queue, the real inbox, the real call log. What repeats and what does not.

02

Install

The four parts above, built against your workflow and your tone.

03

Run it

Monthly management, tuning and reporting. Or I hand it over and you own it.

04
Joolca

Thirty percent of inbound support arrived through one Contact Us page.

Global camping equipment brand. Customers in Australia, New Zealand, the USA, Canada and the UK, so the queue never actually closes.

I installed a custom agent against that channel. It answers what it should answer and passes the rest to the team with the order and the history already attached.

I ran that support team for six years, so the escalation rules were written by the person who used to be on the other end of them.

Evidence

What that has looked like

Support is my bread and butter. It is not the only work that piles up, and the four parts are the same whatever the subject is.

Support queues

Tickets and chat

Answered in your tone, escalated with the history attached, inside the helpdesk you already run.

Paperwork

Invoices and documents

Read, checked and filed without anyone keying them in. One of these runs entirely over WhatsApp.

Revenue leaks

Carts and new leads

Followed up in minutes rather than whenever somebody gets to it.

Missed calls

Phone agents

The phone answered, the caller triaged, the job booked. Voice, built on Retell.

Dormant lists

Database reactivation

Old customers worked properly instead of sitting in a CRM nobody opens.

Internal

Portals and ops glue

Dashboards, approvals, and the connections between tools that were never going to talk to each other.

If your version of this is not on the list, it is probably still the same job.

I did the hard version of this before a model could do any of it.

Six years running customer support at Joolca. I built the team from one person to ten and wrote the process that kept replies consistent while it grew. More than ten years running my own e-commerce store before that, so I have been the person answering at 11pm.

I know Zendesk and the tools around it properly. Macros, tagging, escalation policy, QA, reporting. That is the part that makes an agent hold up once it is live, and it is the part a tool vendor does not sell you.

For the last two years I have been in AI full time. Local models, cloud models, building things and pulling them apart most weeks to know what actually holds up in production. I build agents for businesses across e-commerce, telco, trades and home services, and I teach the work in public.

Billed to you by the provider. Not marked up.

Questions

What does it cost to run once it is live?

AI usage is billed to you by the provider at cost. It moves with volume and you can see it, because it is your account and not mine.

Do I own it if we stop working together?

Yes. It sits on your accounts, in the tools you already pay for. No lock in.

Which helpdesk does it work with?

Zendesk, Gorgias, Intercom, Freshdesk, Help Scout and Front. If yours is not on that list, ask.

What happens when it gets something wrong?

It escalates rather than guesses, the miss shows up in the dashboard, and the fix goes into the next tuning pass.

How much of my time does the install take?

Access to the work, a kickoff call, and a review session. Your team keeps working while it gets built.

Does anyone lose their job over this?

No. I build these around the team you have so they spend their day on the work that needs a person.

Show me the pile.

Twenty minutes on whatever is not getting done. I take a small number of installs at a time.
